Job Summary and Qualifications

Job Summary

The HR Assistant will interact with patients and their families to provide a high level of customer service and ensure total satisfaction with patient and visitor experience. Serves in a local customer-facing HR role that provides initial support to employees; the face of the HR office that handles routine inquiries and guides employees seeking HR transactional support to the appropriate self-service portal and/or the HR service center. Also provides support to the HR Business Partner team and business leaders in collecting, compiling and coordinating information and helping implement local tasks which cannot be completed virtually by the HR service center.

Responsibilities

  • Be the first point of contact with the employee/new hire to assist with a variety of inquiries.

  • Assisting employees/new hires with onboarding, navigating their questions, and points of contact. Redirecting, and giving direction for those items that are handled by other departments such as HR Answers, or their manager.

  • Assist the HRBP with the onboarding process. Retrieving the acceptances from the HR inbox, printing them, adding the employee and their information to the New Hire Dashboard, sending a welcome email and text to the new hire. Also creating their packets to include the main page, welcome packet, parking permit, caregiver spotlight, PRN [if applicable] and job description.

  • Setting up the new hire appointments for HR and Company Care, and adding them to the calendar to include HRBP and Company Care. Also, updating the Dashboard with their CC/HR Appt date.

  • Send out and complete Section 2 of all new hires I9 documents.

  • Tracking the process of the employee lifecycle with the assistance of the HRBP running the report. Updating their status on the dashboard with their information and status.

  • Answering the phone for inquires.

  • Retrieve, sort, and scan over the mail.

  • Assist the VP in implementing of retention strategies.

  • Assist the CEO in running the 60 day luncheon as well as the monthly birthday luncheons. Coordinate birthday luncheon with EVS and Food Services for room set up and food.

  • Assisting in setting up, and facilitating the New Hire Job Fairs.

  • Entry intake for some Employee Relation cases, using the OneNote.

  • Assist on variety of events going on in the hospital, as needed.

What qualifications you will need:

  • Previous experience within a customer service position and knowledge of medical terminology preferred. Less than 1 year in a human resources setting, preferred.

  • Critical thinking, service excellence and good interpersonal communication skills, ability to read/comprehend written instructions, ability to follow verbal instructions, PC skills

  • High School Graduate / GED
